Most schools choose software after one demo and a price quote. A year later, half the modules are unused, fees are still tracked in Excel, and parents never installed the app. The steps below help you avoid that by testing the software against your school's real work before you sign.
Start with problems, not features. Write down the three to five things that cost your school the most time or money today. For example:
These become the tests every vendor must pass in the demo.
Most schools need student records, fees, attendance, exams and report cards, and parent communication from day one. Transport, hostel, library, payroll, inventory and admissions often come later. Choose software where adding a module later does not mean a new contract or a big price jump.
Ask each vendor: "If we add transport and payroll next year, what will our total bill be?" Get the answer in writing.
CBSE, ICSE and state board schools each have their own report card structure, grading and exam pattern. Ask the vendor to show a report card for your board and class, with your own subjects, before you go further. Also check that student data can be exported for UDISE+.
Fees are where software pays for itself. In the demo, ask the vendor to:
If parents do not use the app, the school keeps getting phone calls. Install the parent app on an entry-level Android phone. Check that it is simple, works in the languages your parents read, and shows attendance, homework, results and fee dues without hunting through menus.
Compare the total cost over three years for the modules you need, including:
| Cost item | What to ask |
|---|---|
| Software fee | Per student, per module or fixed? What happens at renewal? |
| Setup and training | Is it one-time? Does it include data import? |
| Messaging | Are SMS and WhatsApp messages included or charged separately? |
| Payment gateway | Does the vendor add a markup on transaction charges? |
| Hardware | Are biometric devices or GPS units required, or optional? |
Our school management software cost guide explains typical pricing models in more detail.
Ask who will import your students, parents, fee dues, past marks and staff records, and how long it takes. A vendor that does the migration for you saves weeks of office time. Ask for the go-live plan in writing; our implementation plan guide shows what a good one looks like.
Problems happen on fee day and result day. Ask how to reach support (phone, WhatsApp, email), the hours, and the typical response time. Ask for two schools you can call as references.
Your school's data belongs to the school. Confirm that you can export all records to Excel at any time, that data is backed up, that access is limited by role, and how parent consent is recorded under India's data protection law.
Invite the accountant, a class teacher and an office staff member. Use your own fee structure and a sample class. Score each vendor with the same checklist; our school ERP requirements checklist is a ready template, and the school ERP comparison shows how common products differ.
Pick the software that solves your top problems in the demo, fits your board, gives a clear all-in price for three years, and comes with a vendor who will move your data and answer the phone.
Every module in one per-student price, data import by our team, and a parent app in Hindi and English.

Look for the modules you need in one system, report cards in your board's format, online fee collection with automatic receipts, a parent app that works on basic phones, clear all-in pricing, data migration by the vendor, fast support and the right to export your data.
Three is enough. More than that makes demos hard to compare. Use the same checklist and the same sample data for each demo.
The owner or principal for budget and goals, the accountant for fees, one or two teachers for attendance and marks entry, and the office staff who will use it daily.
Before a new session starts, usually February to March in India, so fees and marks for the new year start in the new system. Switching mid-year is possible if the vendor imports your existing data.
Free tools can work for very small schools, but check limits on students, modules, support and data export. Open-source software is free to download but needs hosting and technical staff.
A small one-time registration fee (covers onboarding, data import and staff training), then 1 month free, then a simple monthly price per student with every module included. We share the exact numbers on WhatsApp before you pay anything.
