Overview

Most ERP rollouts fail for simple reasons: data is incomplete, staff are trained once and forgotten, and parents are never shown how to use the app. This plan avoids those problems by doing the work in a fixed order, with a clear owner for each step.

PhaseMain goal
Before you startGo-live date, ERP owner, module order
Week 1Data collected, imported and checked
Week 2Staff trained, parallel test run
Week 3Parents onboarded, go live
First 60 daysAdd modules, review adoption

Before you start: decide and assign

Pick a go-live date, ideally before a new term or session.
Name one ERP owner in the school (often the office head or accountant).
Agree the module order: most schools start with students, fees and attendance.
Get the vendor's go-live plan in writing.

Week 1: collect data and set up

Share student and parent lists in Excel (name, class, section, parent phone).
Share fee structures, concessions and current dues per student.
Share staff lists, subjects and class teachers.
Vendor sets up classes, sections, subjects, fee plans and user roles.
Check a sample of imported records with the class teachers.

Week 2: train staff and test

Train office staff on admissions, fee collection, receipts and reports.
Train teachers on attendance, homework and marks entry on the phone.
Run a parallel day: collect fees and mark attendance in both old and new systems.
Fix any wrong dues or missing students found in testing.
Set up payment gateway, receipts and message templates.

Week 3: launch to parents and go live

Send parents the app download link with login steps, by WhatsApp and SMS.
Hold a short help desk at the gate or during PTM for parents who need help.
Switch fee collection and attendance fully to the new system.
Turn on automatic fee reminders and absent alerts.
Stop using the old system for daily work (keep it read-only for records).

First 60 days: add modules and review

Add exams and report cards before the first exam of the term.
Add transport, payroll, library or hostel one at a time.
Review weekly: parent app installs, online fee share, dues trend.
Hold a refresher training for staff after one month.

Common mistakes to avoid

  • Switching everything at once. Start with students, fees and attendance, then add modules.
  • Skipping the data check. Wrong opening dues create parent complaints on day one.
  • Training only the office. Teachers must be comfortable marking attendance and entering marks.
  • Not launching to parents. Without the parent app, the school keeps getting calls.
  • Running two systems for too long. One or two parallel days is enough.

FAQs: school ERP implementation

Expert answers to the most common questions on this topic

How long does it take to implement a school ERP?

With a vendor that imports your data and trains your staff, most schools go live in 2 to 3 weeks for core modules. Exams, transport and payroll are added over the following weeks.

What data do we need to prepare?

Student and parent lists, class and section details, fee structures with current dues, staff lists, subjects and class teachers. Excel sheets are fine.

Should we switch in the middle of the year?

It is easier before a new session, but mid-year switches work if the vendor imports current fee dues and marks so nothing is entered twice.

How do we get parents to use the app?

Send the download link by WhatsApp and SMS, run a help desk for a few days, and move fee payment, results and circulars into the app so parents have a reason to open it.

What if staff resist the new system?

Start with the modules that save them the most time, such as attendance on the phone and automatic receipts, and train in short hands-on sessions instead of one long lecture.

Does Schoolites handle implementation?

Yes. Our team imports your data and trains your staff over video calls. A small one-time registration fee (covers onboarding, data import and staff training), then 1 month free, then a simple monthly price per student with every module included. We share the exact numbers on WhatsApp before you pay anything.
