UDISE+ Duplicate Entry Solutions

How to resolve student already exists and duplicate Aadhaar errors

UDISE+ Portal

Understanding Duplicate Entry Errors

UDISE+ uses Aadhaar as a unique identifier to prevent duplicate enrollments. When you try to add a student whose Aadhaar is already in the system, you'll see a duplicate entry error.

❌ "This Aadhaar number is already registered with another student. Please verify and try again."
❌ "Duplicate entry found. Student already exists in UDISE+ database."
❌ "Error: Aadhaar XXXX-XXXX-XXXX is linked to another enrollment."

This is a data integrity feature, not a bug. It ensures each student is counted only once across all schools in India, preventing enrollment fraud and ensuring accurate statistics.

👨‍🎓

Scenario 1: Student Enrolled in Previous School

Student transferred to your school but not released from old school

Why this happens: The previous school didn't process the Transfer Certificate (TC) in UDISE+, so the student is still marked as active there.

Resolution Steps:

1
Get TC from Previous School

Ensure you have the physical/digital Transfer Certificate from the student's previous school.

2
Contact Previous School

Request them to log into UDISE+ and process "Transfer Out" for this student. They need to select your school as destination.

3
Accept Transfer in Your Portal

Once they initiate transfer, log into your UDISE+ portal. Go to Student Module → Transfer In → Accept the pending transfer.

4
Update Student Details

After accepting, update class, section, and any changed details. The Aadhaar will automatically link.

Scenario 2: Wrong Aadhaar Entered by Mistake

Someone entered incorrect Aadhaar that belongs to another person

Why this happens: During data entry, wrong Aadhaar was typed (digit mistake) or parent provided sibling's/neighbor's Aadhaar by mistake.

Resolution Steps:

1
Verify Correct Aadhaar

Get physical Aadhaar card or download e-Aadhaar to confirm the correct 12-digit number.

2
Prepare Documentation

Application letter stating the error, copy of correct Aadhaar, and student admission register entry.

3
Submit to Block Office

Submit correction request to BEO/BRC office. They will verify and escalate to District if needed.

4
Admin Correction

District/State admin will de-link the wrong Aadhaar and allow you to enter correct one.

📑 Documents Required

  • ✓ Application letter on school letterhead
  • ✓ Correct Aadhaar card copy (front & back)
  • ✓ Student's admission register entry copy
  • ✓ Screenshot of UDISE error message
  • ✓ Declaration that wrong Aadhaar was entered by mistake

Scenario 3: Previous School Closed/Non-Responsive

Can't contact previous school for transfer process

Why this happens: Previous school has shut down, de-recognized, or management is uncooperative in processing the transfer.

Resolution Steps:

1
Gather Evidence

TC from closed school (if available), proof of school closure, or written complaint about non-cooperation.

2
Apply to Block/District Office

Submit application explaining situation. Request forced transfer/de-linking due to exceptional circumstances.

3
District Verification

District office will verify school status and approve manual intervention if justified.

4
Admin De-linking

State/District admin will manually de-link student from defunct school allowing fresh enrollment.

👨‍🏫

Scenario 4: Teacher Duplicate Entry

Teacher's Aadhaar shows as already registered

Why this happens: Teacher was previously employed at another school and wasn't properly relieved in UDISE+, or working part-time in multiple schools (allowed in some cases).

Resolution Steps:

1
Check Employment Status

Verify if teacher is still listed active at previous school. Get relieving letter.

2
Previous School to Remove

Request previous school to mark teacher as "Resigned/Transferred" in their UDISE+ portal.

3
Add After Release

Once removed from previous school, add teacher to your school with current details.

Note: Guest/Part-time teachers may be legitimately linked to multiple schools. Check with Block office for specific rules in your state.
⚠️

Common Mistakes to Avoid

  • Don't enter fake/random Aadhaar to bypass duplicate check - this is illegal
  • Don't create new entry with slight spelling variation - it causes data mismatch
  • Don't ignore the error - unresolved duplicates affect enrollment counts
  • Don't ask parents to get new Aadhaar - duplicates must be resolved, not bypassed

🛡️ How to Prevent Duplicate Entry Errors

📋

Verify Before Entry

Always cross-check Aadhaar from original card before entering. Avoid verbal dictation.

🔄

Complete Transfer Process

For new admissions with TC, use Transfer In - don't create fresh entry.

📑

Maintain Records

Keep copies of TC and Aadhaar for every student. Helps in dispute resolution.

Frequently Asked Questions

How long does it take to resolve duplicate entry?

Normal transfer cases: 1-2 days if previous school cooperates. Aadhaar correction cases: 5-10 working days. Closed school cases: 10-20 working days depending on verification.

What if student doesn't have Aadhaar?

Students without Aadhaar can be enrolled with a temporary ID. However, Aadhaar enrollment should be completed and updated within the academic year. Check state-specific guidelines for exceptions.

Can I see which school has the duplicate entry?

School-level users cannot see where the duplicate exists. Contact Block/District office with Aadhaar number - they can query the database to identify the school.

What if both schools claim the student is enrolled?

The school where the student is physically attending with valid TC should have the enrollment. Block office will verify physical attendance and resolve the dispute.

Is there a deadline to resolve duplicates?

Duplicates should ideally be resolved before the data lock date. After lock, changes require higher-level approval and take longer. Start the process as soon as error is discovered.
